Permanent Job Purpose: Responsible for the accurate processing of the Full Time and Part Time admissions function from the point of supporting the application process through graduation, and ensuring campus compliance with The Independent Institute of Education (The IIE)’s relevant policies.
Minimum qualification: National Diploma or Advanced Certificate (NQF Level 6).
Advanced Diploma or Degree (NQF Level 7) advantageous.
Minimum of two years of administrative experience, preferably with admissions experience.
Duties and Accountability:
Administration of Student Applications and Admissions:
Collaborates with the campus Student Recruitment team to generate inquiries pertaining to student admissions.
Follows up with the Student Recruitment team to obtain lacking student information in order to resolve all admissions-related student questions.
Evaluates student admissions based on the established admission criteria and communicates the results.
Communicates with the campus Student Recruitment personnel during the evaluation and admissions process.
Forwards admissions-related questions to the Senior Admission Officer or Admissions Manager.
Communicates with the campus Student Recruitment team regarding waitlist management.
Communicates with the campus Student Recruitment team regarding the administration of declined admissions, expired offers, and the issuance of new study offers.
Management of documents and distribution of appropriate admission letters.
Determines admission requirements for students and follows up on their fulfillment.
Determines the admissibility of applicants for academic programs.
Monitors student admissions through enrollment.
Provides the Senior Admission Officer with updates on the admissions process.
Adheres to the organization’s predetermined service level agreements for the admissions process.
Works with the Finance department on admissions-related financial issues.
Collaborates with the Senior Admission Officer to assure campus admissions compliance.
Participates in national admissions initiatives with the Admissions Manager.
Administration of Student Registration:
Examines prerequisites for the first to second semester.
Compares registrations to admission requirements.
Continuously verifies the veracity of student registration information.
Manages the process of de-registration and transfer, then forwards to the Finance department for processing.
Weekly review of the National Senior Certificate (NSC) exception reports.
Once received, follows up on all outstanding documentation and uploads.
Determines eligibility and records credit hours.
Determines the utmost completion time and credit load for these enrollments.
Groups students in accordance with campus scheduling requirements.
Maintains pupil files for two years before archiving them in accordance with the Protection of Personal Information Act (PoPIA) data retention regulations.
From a document perspective, ensures the conformance of international students.
Conforms to the International Student Policy and Procedure and regularly updates reports.
In accordance with the deadline for the Data Verification Report, all registration files are re-examined.
This includes the South African Qualifications Authority SAQA / Universities South Africa (USAF) qualifications, study visas and all conditional acceptance – including comments, international students, and all outstanding documentation.
Tracks and monitors conditional admissions throughout the year, including one module outstanding, Universities South Africa (USAF), South African Qualifications Authority (SAQA), combined National Senior Certificate (NSC), study visas, and all other ad hoc conditional admissions.
Conforms to the organization’s predetermined service level agreements for the registration procedure.
Letters such as Proof of Registration, Travel, Medical Aid, Universities South Africa (USAF), SAQA, and Study Permit are drafted for current students.
Graduation:
Determines graduation cohort eligibility, including late graduation.
Identifies and notifies pupils who are graduating in a year other than their own (exception graduates).
Verifies student information for graduates-to-be.
Examines the graduation program for a signature.
Ensures that graduation dates are adhered to.
Ticket Management:
Admission, graduation, and registration tickets received through the student tickets system are processed.
Reports & Extra:
Enables continuous communication with the Assistant Registrar regarding the resolution of Registrar-related questions.
The Admission Centre complies with The Protection of Personal Information Act (POPIA) legislation.
Performs additional administrative and/or reporting tasks as required.
